FAQ 2174: Location merge or copy from one plan to another

Problem:

We have a MEP that was set up in ASC with 7 difference cases, when it should have been 1 case with Location codes set up b/c the plans are all in 1 contract at the Record-keeper. The testing for all 7 cases for the 2022 plan year has been completed.

Is there a way to merge 6 of the 7 cases into the main 1 case within ASC? If yes, would you please send me those instructions?



Solution:

If you are able to work on a version of the system, with the June 2023 release or later, you should be able to do this fairly quickly.

We have a new version of the Copy Plan which allows you to copy a full location to the opened plan. This is how I recommend you proceed.

1). In each case, create a location (should be a different location number then the other plans). You can assign this number. Let's say these are our facts:

Plan 1 ABC Plan Master Plan (will remain and hold ALL of the new locations) All ees in this plan should be in Location 1 (set this up in Locations folder in Plan Specs and EEs)
Plan 2 ZYX Plan Location 2 should be assigned to all EEs in this plan and setup in Plan Specs
Plan 3 MNO Plan Location 3 should be assigned to all EEs in this plan and setup in Plan Specs
Plan 4 DEF Plan Location 4 should be assigned to all EEs in this plan and setup in Plan Specs
Plan 5, 6 and 7 _ Same details where the location is different than the other plans.

2). Open the Master plan, make a portable copy as a backup (just in case), then remove the multiple plan attachments using the main ASC menu-Compliance - Multiple Plan Maintenance

3). In the Master Plan, begin copying using the File-Copy Plan-Merge Census from another plan and under Copy Option, select Merge Location, Insert the Location number to copy from the plan you select in the Setup box. Repeat this copy merge location for each plan and location to copy.
Always be cautious when copying over a Location. Do not copy a Location Number that already exists in the opened plan (copy to plan). If necessary, you may want to update the Location Number to an unused number in the opened plan to avoid adding the employees to a location that may already exist within the opened plan.
